I believe that no matter how prepared you are, they are still nerve-racking\u2026what will they find? Did I miss something? What you might not believe is that the auditor is on the same side as you \u2013 the safety side.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">Your company will likely be a target for an audit if:<\/span><\/p>\n<ul>\n<li><span style=\"font-weight: 400;\">There has been a compliant<\/span><\/li>\n<li><span style=\"font-weight: 400;\">You ship something high risk (i.e., PIH material)<\/span><\/li>\n<li><span style=\"font-weight: 400;\">Incident history<\/span><\/li>\n<li><span style=\"font-weight: 400;\">You are registered with the DOT<\/span><\/li>\n<li><span style=\"font-weight: 400;\">You hold a special permit or competent authority approval<\/span><\/li>\n<\/ul>\n<p><span style=\"font-weight: 400;\">How can you prepare for them just in case?<\/span><\/p>\n<p><span style=\"font-weight: 400;\">Keep good records \u2013 either virtual or paper. Make sure everything is identified by the \u201cDOT name.\u201d For example, if you do security training as part of your employee orientation, make a note that the record for security awareness training is in the employee orientation folder. Items that should be included in this recordkeeping include, but are not limited to:<\/span><\/p>\n<ul>\n<li><span style=\"font-weight: 400;\">Training records (make sure they are up to date)<\/span><\/li>\n<li><span style=\"font-weight: 400;\">Registration per 49 CFR Part 107.601 (if needed)<\/span><\/li>\n<li><span style=\"font-weight: 400;\">Previous inspection reports\/exit interviews<\/span><\/li>\n<li><span style=\"font-weight: 400;\">Special permits or competent authority approvals<\/span><\/li>\n<li><span style=\"font-weight: 400;\">Security plans<\/span><\/li>\n<li><span style=\"font-weight: 400;\">M-Number<\/span><\/li>\n<li><span style=\"font-weight: 400;\">RIN or CTN if applicable<\/span><\/li>\n<li><span style=\"font-weight: 400;\">Shipping papers<\/span><\/li>\n<li><span style=\"font-weight: 400;\">Packaging<\/span>\n<ul>\n<li>Closing instructions<\/li>\n<li>Tools used<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<p><span style=\"font-weight: 400;\">When the inspector arrives, expect to have an introduction meeting. In the meeting, they will identify key individuals, gather a company profile, walk through the facility, look at stock, and review various documents.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">The top violations during the audit include:<\/span><\/p>\n<ul>\n<li><span style=\"font-weight: 400;\">Training records<\/span><\/li>\n<li><span style=\"font-weight: 400;\">Packaging closure<\/span><\/li>\n<li><span style=\"font-weight: 400;\">Security plans<\/span><\/li>\n<li><span style=\"font-weight: 400;\">Shipping paper retention<\/span><\/li>\n<li><span style=\"font-weight: 400;\">Shipping paper sequence (ISHP)<\/span><\/li>\n<li><span style=\"font-weight: 400;\">Cylinder record keeping<\/span><\/li>\n<\/ul>\n<p><span style=\"font-weight: 400;\">Once the audit is complete, they will meet to do an exit interview. During the exit interview, they will review any probable violations and request a signature. The signature must be from a high-ranking officer of the company.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">If you have probable violations, you will have 30 days to respond. At that point, the Chief Inspector will determine what \u201cpunishment,\u201d if any, will apply.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">Get organized now!
